Now that you know what Gravity Forms and Monday.com have to offer, let’s take a look at how you can integrate the two tools.

For this, you’ll need the Gravity Forms Zapier Add-On. Using the Zapier Add-On, you’ll be able to send information collected through any of your forms directly to your Monday.com account and ensure the information is added to the correct project and place.

Here are a few examples of information that can be sent to your Monday.com account with the Zapier Add-On:

  • Submit product orders or payment form data directly into your Monday.com boards for easier order tracking and fulfillment.
  • Capture new leads and send all associated inquiry details straight into your marketing or sales pipelines.
  • Create new contacts or client records in Monday.com using the information submitted through your forms.
  • Log support requests or service tickets to ensure customer issues are tracked and assigned.
  • Create or update deals in Monday.com’s CRM, keeping your sales pipeline accurate and up to date.

How to set up Gravity Forms and Monday.com integration

Setting up the integration between Gravity Forms and Monday.com is relatively simple. Keep in mind that you’ll need Gravity Forms installed and active on your WordPress website, and a Monday.com account. You’ll also need the Zapier Add-On installed and a Zapier account, which we’ll run through setting up below…

Install and configure the Zapier Add-On

To get started with the Zapier Add-On, open your WordPress dashboard and select Forms > Add-Ons. This will open the add-on browser – scroll down to the Zapier Add-On and click to Install, and then Activate.

Next, in order to connect your forms to Monday.com and Zapier, you need to enable Gravity Forms’ built-in REST API.

In a nutshell, this API lets Gravity Forms send and receive data from other sources, including Zapier.

Here’s how to set it up:

  1. Go to Forms → Settings in your main WordPress dashboard.
  2. Select the REST API tab.
  3. Check the box to Enable access to the API. This will expand some additional options.
  4. Click Add Key under Authentication (API version 2).

In the popup that appears, configure things as follows:

  • Description – An internal name to help you remember.
  • User – Choose your WordPress admin account.
  • Permissions – Read/Write.

Then, click Add.

Gravity Forms will now show you two pieces of information:

  • Consumer Key
  • Consumer Secret

Make sure you copy these keys to a safe location because you’ll need them in the next step and Gravity Forms won’t show them again. If you accidentally lose them, you can just create a new key – so don’t worry!

Finally, make sure to click Update at the bottom of the settings area to save your changes. Once you’ve created your form, simply embed it on the page or post where you want to collect submissions for Monday.com.

Select a Zap

Now, you’ll do most of the rest of the work from Zapier.

To connect WordPress to Monday.com, you’ll use a “Zap”, which is Zapier’s term for an automation recipe.

You have two options:

  1. You can pick a premade Zap – Zapier lists a number of premade recipes on this page.
  2. You can build your own Zap from scratch by using the various actions.

For this tutorial, we’ll use the premade Zap to create Monday.com items on boards for new form submissions in Gravity Forms.

However, you’re free to choose a different premade Zap or make your own. The general steps are the same either way, so you should be able to follow along even if you’re using a different Zap recipe.

Choosing the template will open the Zapier editor. The Zap will automatically be configured to use the Gravity Forms Form Submission as the trigger to Create Item on a Monday.com board.

Connect Gravity Forms to Zapier

Next, it’s time to check the connection between Gravity Forms and Zapier. If you’ve connected Zapier with Gravity Forms before, Zapier’s Copilot will log you in automatically and present you with your next-step action items.

Alternatively, if this is your first time connecting Zapier with Gravity Forms, you’ll need to click on the Gravity Forms step and then click Sign in.

Then, you’ll need to enter a few pieces of information:

  1. Site URL – The full URL of your WordPress site, including the HTTPS part. You can copy this exactly by going to Settings → General in your WordPress dashboard and copying the Site Address.
  2. Consumer Key – From Step #2 in this guide.
  3. Consumer Secret – From Step #2 in this guide.

Finally, click Yes, Continue to Gravity Forms.

Next, back in the Zapier editor, click Continue to be taken to the configuration step. Here you’ll need to:

  • Choose the form you want to send data from.
  • The Use Admin Field Labels? section is not required, but you can fill it out if you have added Admin Labels.
  • Add a Unique name and again click Continue.

You should then see a green checkmark indicating that the connection was successful.

Click Continue to advance.

You’ll now be asked to Test what you’ve set up. Click Test Trigger to ensure the connection works.

You should end up with a viewable example submission record. Click Continue with selected record.

Connect Zapier to Monday.com

You’ll now need to complete the same process to connect to Monday.com. First, ensure the Action Event is set to Create Item, and then follow the instructions to authorize your account:

  1. Click to connect your account. This will open an authorization prompt for Monday.com (assuming you’re already logged into Monday.com in another browser window or tab). This prompt contains instructions on where to find your API token on Monday.com.
  2. Enter the token found on your Monday.com account.
  3. Once connected, click Yes, Continue to Monday.com in Zapier.

Back in Zapier, you should see that your account is connected and that you can click Continue to configure the Zap.

Configure and enable the Zap

Now that you’ve connected Gravity Forms and Monday.com, you’re ready to customize how you want to pass the data from Gravity Forms to Monday.com.

Choose your Board ID (your Monday.com board where you want your form submissions to populate), and Item Name (fields you want to be pulled into your board). Then click Continue.

Finally, you can submit a test to make sure the connection works:

Zapier will send some test data to your Monday.com board. In Monday.com, you can confirm that the connection works because you’ll be able to see the test entries on your board.

Publish your Zap

The last step is to enable the WordPress Monday.com integration by clicking Publish.

Everything should work automatically from now on.

As people submit entries via your web form, Gravity Forms will automatically pass that information to Monday.com according to the integration settings that you chose.

If you ever need to adjust or disable the integration in the future, you can do so from your Zapier dashboard.
