We’re thrilled to announce the release of Gravity Flow 3.0. A significant update, 3.0 is focused entirely on making your workflow management experience smoother, faster, and more intuitive than ever before.

If you’ve been building complex workflows with Gravity Flow, you know the power it brings to your forms. But even powerful tools can have friction points that affect user experience and generally slow you down. Eradicating those friction points was the challenge we set out to solve with version 3.0.

Introducing Gravity Flow 3.0

Gravity Flow 3.0 isn’t just another feature release, it’s a complete quality-of-life overhaul. We’ve listened to your feedback and focused on making every aspect of workflow management faster and more efficient.

Whether you’re running a small business with straightforward approval processes or managing enterprise-level workflows with hundreds of users and complex routing, Gravity Flow 3.0 delivers significant improvements that will transform how you work.

Lightning-fast performance with AJAX

The biggest improvement you’ll notice immediately is speed. We’ve implemented AJAX search that makes working with large sites dramatically faster.

For sites with more than 150 users, AJAX search is now enabled by default, transforming how you select assignees. Instead of loading long user lists, you’ll see a clean interface that initially displays only roles and email fields.

As soon as you type 3 characters, users matching your search will appear instantly. You can search for users by name, or filter by WordPress roles and email fields – everything updates in real-time via AJAX.

And if you need to customize the behavior, new filters let you adjust the 150-user threshold or toggle AJAX search on/off to suit your site’s needs.

New repeater functionality for conditional routing

In 3.0, conditional routing also gets a complete visual overhaul with new repeater functionality, inspired by design elements from Gravity SMTP. Instead of cramped columns, each routing rule now expands into a full-width row with plenty of space to view and modify selections.

Plus, the Assign To dropdown uses the same instant AJAX search on sites with 150+ users, making it faster than ever to set up complex conditional workflows.

You’ll also find the same repeater interface throughout Gravity Flow – for example, in the Approval and User Input steps when defining status-driven email recipients, as well as in Notification steps and Gravity Flow PDF steps.

Streamlined workflow management

Beyond speed improvements, we’ve also focused on making workflow creation, navigation and management more efficient.

Step navigator

In Gravity Flow 3.0, every step settings page now includes a new step navigator.

The step navigator lets you jump between any step in your workflow instantly, reducing the need to keep numerous tabs open as you verify or change settings.

And you’ll be prompted to save any changes before you navigate away.

Gravity Flow 3.0 also brings some great updates to the Workflow steps settings tab. When creating or editing a workflow, you’ll find the same handy bulk action controls that you’re used to from other Gravity Forms admin pages, like Forms or Entries.

You’ll now be able to select multiple steps and quickly:

  • Activate or deactivate steps in batches
  • Duplicate entire step configurations
  • Remove outdated steps quickly
  • Prototype different workflow approaches

This makes it easy to manage workflows at scale, whether you’re testing different approaches during initial design or maintaining existing workflows as your business grows.

Enterprise-ready API integration

For developers and agencies building custom integrations, Gravity Flow 3.0 introduces almost a dozen new V2 API endpoints.

These will make it even easier to extend Gravity Flow, whether you are:

  • Integrating with third-party systems for clients
  • Building bespoke interfaces for enterprise initiatives
  • Creating custom workflow experiences

The new API endpoints follow WordPress core standards and include full documentation. You’ll also find all other V2 endpoints and our V1 API have received a fresh set of documentation updates.

Key endpoints include:

  • Workflow Control: Send entries to specific steps, cancel or restart workflows
  • Assignee Management: Retrieve and update assignee statuses
  • Webhook Integration: Process incoming webhooks and create entries programmatically
  • Step Information: Get detailed step data for forms and entries

It’s important to note that the V1 Rest API has not yet been deprecated, and no specific timeline for it has been identified. However, if you are starting new projects or making significant enhancements to an existing one, we recommend that you start building with the V2 API today.

Ecosystem enhancements

Beyond these major improvements, we’ve enhanced the foundational elements that make Gravity Flow work seamlessly with the broader Gravity Forms ecosystem:

Field mappings

Field mappings now support longer content with resizable textareas – perfect for when you’re mapping HTML content or multiple merge tags in Webhook and Form Connector steps.

Form navigator

Form navigator functionality has been enhanced, so moving forward, it will remember your context! When switching between forms, you’ll land on the same settings screen you just left instead of always returning to the main settings page.

Update to Gravity Flow 3.0!

Gravity Flow 3.0 is now available to all customers with an active license!

If you don’t have automatic updates enabled, simply open your WordPress dashboard, head over to your plugins page, and click to Update to Gravity Flow 3.0.

Gravity Flow 3.0 can also be downloaded from within your Gravity Flow dashboard.

  • Fixed a bug that causes the “unsaved changes” warning to appear when you search in the form switcher dropdown, even if you have not made any other changes.
  • Fixed an error that is displayed when installing Gravity Forms via the installation wizard.
  • Removed the broken view and edit Zap links from the Zapier step.
  • API: Added new gravityflow/v2/steps endpoint to get the steps by entry or form.
  • API: Added new entry assignees management endpoints to the V2 API.
  • API: Added new revert step endpoint for the Approval step to the V2 API.
  • API: Added new endpoints to the V2 API to restart workflows, cancel workflows, restart steps, and send to step.
  • API: Added the new gravityflow_assignee_ajax_search_account_threshold filter to allow modification of the number of users that are present on the site before AJAX search becomes enabled.
  • API: Added the new gravityflow_assignee_ajax_search filter to allow AJAX search to be enabled or disabled globally.
